We collect only what we need to respond to you and to run the website.

• Strategy call and enquiry data you submit in our qualification form: name, work email, phone, company, website, role, company size, industry, primary challenge, timeline, budget range, revenue range, current systems and any notes you add.
• Newsletter and capability brief requests: email address, and the name, company, size and role fields on the brief form.
• Technical and referral data: page URL, referrer and UTM parameters attached to your submission, plus server logs containing IP address and user agent.
• Client engagement data: contact details of your team and any data you make available to us under a signed agreement.

We do not knowingly collect data from children and we do not buy or sell personal data.

• Legitimate interests — responding to a business enquiry, preparing for a strategy call, one follow up on a capability brief download, securing and improving the website.
• Consent — newsletter subscription. You can withdraw it at any time through the unsubscribe link or by emailing us.
• Contract — delivering services to a client and supporting them after launch.
• Legal obligation — tax, accounting and statutory record keeping.

We use a small set of vetted processors. Each is bound by a data processing agreement and may only act on our instructions.

• Cloud hosting and application infrastructure for this website and our apps.
• Managed database and backend platform, where enquiry records are stored.
• Transactional email provider, used to notify our sales desk of an enquiry.
• Scheduling provider (Calendly), used only after you choose to book a call time.
• Form delivery and newsletter tooling for the website forms.

We do not share your data with advertising networks or data brokers. We may disclose data where legally required, or to defend our legal rights.

Our teams operate from the United States, Greece and India, so personal data may be processed outside your country of residence. Where data leaves the EEA or UK, we rely on Standard Contractual Clauses with the receiving party and apply access controls, encryption in transit and least privilege access.

• Website enquiry and strategy call records: 24 months from last contact.
• Capability brief and newsletter records: until you unsubscribe, then removed.
• Client engagement records: for the contract term plus 7 years where required.
• Server and security logs: up to 12 months.

Subject to your jurisdiction (UK/EU GDPR, and US state privacy laws including the CCPA/CPRA), you can request access to your data, correction, deletion, restriction or portability, and you can object to processing based on legitimate interests. You may also withdraw marketing consent at any time.

Email privacy@appnox.ai and we will respond within 30 days. We will not discriminate against you for exercising a right. If you are in the EEA or UK you may also complain to your local supervisory authority.

This website is not intended for submitting health information. Please do not enter patient details, clinical notes or any protected health information (PHI) into our forms.

In client engagements we design and operate HIPAA aware systems: access control, audit logging, encryption in transit and at rest, environment separation and least-privilege data handling. Where an engagement requires Appnox to create, receive, maintain or transmit PHI, we act as a Business Associate and will execute a Business Associate Agreement before any PHI is shared. We do not process PHI without a signed BAA in place.

We apply encryption in transit, role based access control, environment separation between development and production, secret management, dependency scanning and least-privilege access to production systems. No system is perfectly secure, so if you believe you have found a vulnerability email security@appnox.ai and we will respond promptly.

We keep cookie use to the minimum needed to serve and secure the site. Details are in our Cookie Policy.

We update this policy when our practices or processors change. The date at the top always reflects the current version, and material changes will be announced on this page.
